Purpose

Reporting to the Maintenance manager, the Maintenance Administrator/Co-Ordinator will provide general technical and administrative support to the Maintenance department. They will be responsible for a range of tasks and activities as required for successful execution of maintenance milestones.


Responsibilities
  • General administration as required to support the Maintenance department.
  • Ensuring the administration tasks are produced to the correct standard and in a timely manner to ensure the department operates efficiently.
  • Liaising with suppliers and contractors.
  • Working with purchase orders and invoices.
  • Data input using internal/external software.
  • Supporting on the delivery of engineering projects.
  • Adhere to all relevant company procedures.
  • Build good relationships with all areas of the factory and external contractors present on site.
  • Deputise for the Maintenance Manager where necessary in meetings
  • Take ownership of certain business processes such as configuration control and implement improvements.
  • Setting up, managing and maintaining file structures and databases.
  • Input of data into spreadsheets, databases and other business systems.
  • Creating, uploading and releasing documentation along with some configuration control duties.
  • Raising requests for quotation and purchase orders.
  • A range of other reasonable tasks as required by the engineering department.
  • Carry out the Scheduling tasks of All Engineering Works via our computerised maintenance system in line with available skills/resources, liaising with relevant departments to achieve completion of works on time.
  • Contribute to reports of maintenance activities, internal performance reports, asset management plans, reports to specific regulators and certifying bodies.
  • Work with engineering management on parts management and stock acquisition.
  • Stores administration, logging of all parts and inputting into Agility System and working with the engineering department on restocking of parts.
  • Keeping the maintenance management systems up to date and entering new data as required along with calibration data including all associated administration duties.
  • Ensuring the teams training records are kept up to date and sent to the HR team to be added to the team’s training files.
  • Keeping up to date with company training instructions and ensuring that this information is passed onto the relevant team(s).
  • Administration and inputting data.
  • Develop and maintain excellent relationships internally.
Education and / or Experience

Essential Criteria:

  • 3 – 5 years in a Manufacturing or Administration role
  • GCSE English Math and English) or equivalent
  • Efficient in Microsoft office (word/excel/PowerPoint)
  • Organisational skills and excellent attention to detail

Desirable Criteria:

  • Administration qualification
